Privacy Policy

Last Updated: November 1, 2025

At TreeBills, privacy is fundamental to our accounting app. We believe in minimal data collection and maximum user control. This Privacy Policy explains exactly what we collect, what we don't collect, and how you maintain full control over your information.

1. Our Privacy Principles

TreeBills is designed with privacy at its core:

  • We collect only what's necessary for the accounting app to function
  • We don't sell your data - never have, never will
  • You own your data - you can export or delete it anytime
  • No tracking or surveillance - we don't track your location or behavior outside the app
  • Transparent and honest - we tell you exactly what we do with your information

2. What We Collect

2.1 Essential Account Information

To create and maintain your account, we collect only:

  • Email address - for account access and important notifications
  • Name - to personalize your experience
  • Phone number (optional) - only if you choose to provide it

2.2 Business Data You Create

Your accounting and business information that you create and store in the app:

  • Invoices, bills, and receipts
  • Customer and supplier information
  • Inventory and product data
  • Financial transactions and reports
  • Business settings and preferences

Important: This is YOUR data. You can export it, delete it, or take it with you at any time. We store it securely only to provide the accounting services you requested.

2.3 Payment Information (When You Make a Payment)

When you choose to make a prepaid payment, your payment card information is processed directly by our secure payment provider (not stored on TreeBills servers). We only receive confirmation of successful payment and basic transaction details (amount, date, no card numbers).

2.4 Technical and Analytics Information

To ensure app functionality, improve user experience, and maintain security, we collect:

  • Device type and browser - to optimize app display and ensure compatibility
  • Screen/page navigation - which screens and features you use in the app
  • Usage analytics - how you interact with features, session duration, feature usage patterns
  • Error logs - when app errors occur, to fix issues
  • Performance data - app loading times and responsiveness

2.5 Google Analytics

We use Google Analytics to understand how users interact with TreeBills and improve the app. Google Analytics collects:

  • Pages/screens viewed and navigation paths
  • Time spent on pages/screens
  • Device and browser information
  • General geographic region (country/city level, not precise location)
  • How you arrived at our website (referral source)

Important: Google Analytics data is anonymized and aggregated. We cannot identify individual users from this data, and your business information (invoices, transactions, etc.) is never sent to Google Analytics.

You can opt-out of Google Analytics by:

  • Installing the Google Analytics Opt-out Browser Add-on
  • Enabling "Do Not Track" in your browser settings
  • Using browser privacy extensions that block analytics

3. What We DON'T Collect

Unlike many apps, TreeBills does NOT collect:

  • ❌ Precise location/GPS data - we never track your exact location (Google Analytics may collect general region)
  • ❌ Your business data for analytics - your invoices, transactions, and financial data never go to analytics tools
  • ❌ Browsing history outside TreeBills - we don't track other websites you visit
  • ❌ Social media activity - no tracking of your Facebook, Twitter, or other social media
  • ❌ Personal behavioral profiling - we don't create individual profiles for advertising
  • ❌ Third-party advertising data - we don't show ads or share data with advertisers
  • ❌ Contacts or phonebook - we never access your device contacts
  • ❌ Camera or microphone - unless you explicitly use these features (like scanning receipts)
  • ❌ Keystroke logging - we don't record what you type

4. How We Use Your Information

We use your information for these specific purposes only:

4.1 To Provide Accounting Services

  • Store and process your business data (invoices, transactions, reports)
  • Sync your data across your devices
  • Generate financial reports and insights
  • Back up your data to prevent loss

4.2 To Maintain Your Account

  • Authenticate your login and ensure account security
  • Process your prepaid payments when you choose to upgrade
  • Send essential notifications (security alerts, service updates, subscription reminders)

4.3 To Provide Support

  • Respond to your questions and support requests
  • Fix technical issues and bugs
  • Help you recover your account if needed

4.4 To Improve the App Through Analytics

  • Track which features are used most to prioritize improvements
  • Analyze navigation patterns to optimize user experience
  • Measure app performance and identify slow areas
  • Understand which features need better design or tutorials
  • Test new features and measure their success
  • Fix bugs and prevent technical issues

Analytics Clarification: We track how you navigate through the app (which screens you visit, which features you use), but we never track the actual business data you create (your invoice amounts, customer names, transaction details, etc.). Think of it like knowing "User opened the Invoice screen" but not "User created an invoice for $1,000 to John Doe."

We do NOT use your data for: Advertising, selling to third parties, tracking you across other websites, creating advertising profiles, or any purpose not directly related to providing and improving your accounting services.

Important Note on Payments: TreeBills operates on a prepaid payment model. We do not store your payment card details for automatic or recurring billing. Each payment must be initiated manually by you when you wish to renew or extend your subscription.

5. Data Sharing - We Don't Sell Your Data

We never sell, rent, or trade your personal or business data. Period.

We only share your information in these limited circumstances:

5.1 Essential Service Providers

We use a minimal number of trusted service providers who help us operate TreeBills:

  • Cloud hosting - to store your data securely (stores your business data)
  • Payment processor - to process one-time payments (does not see your business data)
  • Email service - to send you account notifications (does not see your business data)
  • Google Analytics - to analyze app usage and improve features (does not receive your business data, only anonymized usage patterns)

These providers are contractually bound to protect your data and use it only for the specific service they provide. Your business information (invoices, transactions, customer data) is only accessible to our cloud hosting provider and is never shared with analytics, payment, or email services.

5.2 When You Choose to Share

When you explicitly choose to share information, such as:

  • Sending an invoice to a customer
  • Sharing a report with your accountant
  • Exporting your data

5.3 Legal Requirements

We may disclose information only if required by law or valid legal process (such as a court order). When permitted, we will notify you before disclosing your information.

5.4 Business Transfers

If TreeBills is acquired or merged with another company, your data may be transferred. You will be notified beforehand and given the option to delete your account if you don't agree.

6. How We Protect Your Data

Security is critical for an accounting app. We use industry-leading security measures:

6.1 Encryption

  • Data in transit: All data transmitted is encrypted using TLS/SSL
  • Data at rest: Your data is encrypted when stored on our servers
  • Passwords: Hashed using industry-standard algorithms, never stored in plain text

6.2 Access Controls

  • Multi-factor authentication available for your account
  • Strict access controls - only authorized personnel can access infrastructure
  • No employee can view your business data without explicit permission for support purposes

6.3 Infrastructure Security

  • Regular security audits and vulnerability testing
  • Automated backups with encryption
  • Secure, certified data centers
  • 24/7 monitoring for security threats

6.4 Your Responsibility

You play an important role in security:

  • Use a strong, unique password
  • Enable two-factor authentication
  • Keep your login credentials confidential
  • Log out from shared devices

Note: While we implement strong security measures, no system is 100% secure. We continually work to improve our security practices.

7. Your Data, Your Control

You have complete control over your data. Here's what you can do at any time:

7.1 Access Your Data

  • View all your business data anytime in the app
  • Request a complete copy of your account information
  • Export your data in standard formats (PDF, Excel, CSV)

7.2 Modify Your Data

  • Edit any business information directly in the app
  • Update your account settings and preferences

  • How: Go to Settings → Account → Delete Account, or contact us at developer@treebills.com
  • Timeline: Data is permanently deleted within 30 days (except where required by law)

7.4 Data Portability

  • Export your complete business data in portable formats
  • Take your data to another service if you wish
  • No lock-in - your data is always accessible to you

7.5 Control Communications

  • Opt-out of promotional emails (we'll still send essential account notifications)
  • Choose your notification preferences in Settings

We retain your data only as long as necessary:

  • Deleted accounts: Permanently deleted within 30 days of account deletion
  • Backups: Deleted from backups within 90 days
  • Legal requirements: We may retain certain information longer if required by law (e.g., tax records)

When data is no longer needed, it is securely deleted or anonymized so it cannot identify you.

9. International Data Transfers

Your data may be stored and processed in data centers located in different countries. Regardless of where your data is processed, we apply the same strict privacy and security standards. We use secure, certified data centers and take appropriate safeguards to ensure your information is protected according to this Privacy Policy.

10. Children's Privacy

TreeBills is an accounting and business management application. There are no age restrictions for using the app - if someone can operate it for their business needs, they can use it. However, we recommend that minors use TreeBills under the supervision of a parent or guardian. We don't knowingly collect more information from minors than from any other user - we collect only what's needed for the accounting service.

11.2 Analytics Cookies (Google Analytics)

  • Usage tracking: To understand which features are used and how

These cookies collect anonymized data and cannot identify you personally or access your business information.

  • ❌ No third-party advertising tracking

  • Your browser settings (may affect essential functionality)
  • Google Analytics Opt-out Browser Add-on (blocks only analytics cookies)
  • Browser "Do Not Track" settings

Note: Disabling essential cookies will prevent you from logging in and using TreeBills. Disabling analytics cookies will not affect functionality but will prevent us from improving the app based on usage data.

12. Third-Party Links and Integrations

TreeBills may contain links to third-party websites or integrate with third-party services (e.g., if you export to Dropbox or Google Drive). We are not responsible for the privacy practices of these third parties. Please review their privacy policies before using their services. We only integrate with services when you explicitly choose to use them.

13. Changes to This Privacy Policy

We may update this Privacy Policy to reflect changes in our practices or for legal reasons. When we make material changes:

  • We'll update the "Last Updated" date at the top
